Setting up Areas
Area Overview
BUZ accommodates for the setup of Sales and Dispatch areas.
Leads and processed orders are assigned to the Sales rep or Dispatcher allocated to these areas.
Areas are descriptions / names that are used to describe a set of suburbs that make up that area.
BUZ will default the orders to a Sales Rep/ Dispatcher by the postcode unless "suburb" is selected in organizational settings.
There is a few steps to create and assign Areas to Sales reps and Installers.
Define the areas for your sales reps, Installers and delivery driver
(If you haven't already)
First we need to create a list of Areas.
Download the template
Settings → Sales settings → Import/Export Sales Settings → “Areas”
If your exporting for the first time the spreadsheet will be blank.
Complete the following and upload to BUZ
Code
Description
Seq No (not mandatory) and
Is Not Current = False
Operation (A - Add, E - Edit)
Note: These areas can be used for both will be used for both Sales Rep areas and Dispatch areas.
Note: Seq No is used to control the order the list, if left as 0 then alphabetical sorted.
Optional steps to help make a list of area’s
If you don't know how to make a list of area’s then I would suggest creating a Map of the area where you operate and highlight the areas
For this example I will use Sydney
Now I can visually see the areas,
Import Suburbs
Settings-> Sales settings-> Import/Export Sales Settings “Suburbs”
You will need to source a list of Suburbs and Postcodes for your area/state
Importing Suburbs required the
Suburb
State
Country
Postal code
Area Description (optional)
Operation (A - Add, E - Edit)
Allocated Suburbs to an Area
Settings-> Sales settings-> Import/Export Sales Settings “Suburbs”
After you have populated the list of suburbs you can allocate an Area description to each Suburb/post code
If you have already uploaded the list of suburbs you will need to enter “E” for edit when adding the Area Descriptions, otherwise if you are adding the suburbs, post codes and area description all at the same time then you will need to input an “A” for Add
Allocate Areas to Sales Reps
Settings-> Sales settings-> Import/Export Sales Settings “Sales Representative Areas”
Allocated the areas to the Sales reps using the Reps code and description along with the Area code and description.
You can also add multiple areas to a sale rep
Allocate Areas to Installer
Settings-> Workflow timing & Tracking settings-> Import/Export Sales Settings “Installer Areas”
Installers are in a different area from the sale reps and suburbs.
Allocated the areas to the Installers or Dispatch, using the code and description along with the Area code and description.
Installers can have multiple allocated areas
Another idea is that you can also use the “Installers” as your Delivery Trucks/Delivery method if you do not install.
For example “TNT”, “Delivery Driver”, “External Courier”
Finished
Once all sheets are imported BUZ will then proceed to allocate leads to the sales reps according to the Areas delegated to that rep and Installs/check measures/deliveries/pickups are allocated to the installer/dispatch according to the Areas delegated to that installer/dispatch.
