Sales Representatives - Calendar

This page will guide you through setting up sales representative calendars. Once a calendar is created, leads and customers can be allocated to the Sales Rep. However, note that creating a calendar does not allow a person to log into BUZ. You must create a User and link them to a calendar to provide access.

How to Set Up a Sales Rep Calendar

Navigate to Sales Settings:

Go to Settings → Sales Settings → Click + New Rep to add a new Sales Rep or click on the Rep's name to edit their existing calendar entry.

 

Enter Details for Each Rep:

  • Personal Details: Name, Phone, Mobile, Email

  • Code: A unique code (6-8 characters, no spaces or special characters)

  • Sequence Number: For ordering the sales reps in a list

  • Branch: If the rep is locked to a particular branch

 

Set Weekly Availability:

  • For each day of the week (Monday to Sunday), enter the desired number of leads and any comments, such as "Morning appointments only."

Work Habits and Exceptions

The standard work habits for a sales rep can be modified in three ways:

  1. Private Appointment: Entered through Leads.

  2. Individual Sales Rep Exception: Specific exceptions for a rep.

  3. ALL Exception: Use the Sales Rep "ALL" for public holidays and meetings to avoid entering it for each rep individually.

Linking the Sales Rep Calendar to the Sales Rep User

Ensure the Sales Rep user is linked to their calendar when inviting them to BUZ.

  • Go to Settings → Users → Invite Users or click on the existing sales user. More help can be found here on BUZ users.



Sharing a Calendar to a Device

Once a sales rep calendar is created, it can be shared with another calendar app through two methods:

  1. iCal:

    • Simple to add but provides limited data and does not refresh often.

      • Outlook refreshes every 15 minutes.

      • Google refreshes every 24 hours.

      • Office 365 refreshes every 24 hours.

    • Details visible in the iCal appointment include Lead Status, Client Name, address, and notes fields.

  2. Google Calendar Integration:

    • The Google Calendar API and OAuth setup is more complicated but allows instant sync of all appointments to Google.

    • It integrates with Google Calendar, allowing changes in Google to reflect in BUZ and vice versa.

    • Updates in real-time across platforms, enabling scheduling teams to see changes immediately.
