Zapier Integration
Overview
Zapier is a web-based automation tool that allows users to connect various apps and services to automate workflows and tasks. It enables users to create "Zaps," automated workflows linking two or more apps. Each Zap consists of a trigger and one or more actions. When the trigger event occurs in one app, Zapier automatically performs the specified actions in the connected app(s).
BUZ Integration with Zapier
Log in to Zapier and search for BUZ; you will be prompted to log in to your BUZ account to link the two accounts together.
Creating a Zap with BUZ
Log In to Zapier
Log in to your Zapier account.
Create a New Zap
Click on "Make a Zap" to create a new Zap.
Name your Zap something descriptive, such as "BUZ to Google Sheets" or "123Form to BUZ."
Set Up the Trigger
Select the Trigger App (e.g., BUZ if sending data from BUZ to another API).
Choose the Trigger Event (e.g., "New Lead" if sending lead data out of BUZ).
Select your BUZ Profile.
Test the trigger. Ensure you have completed an event in BUZ, such as creating a lead or a quote.
If you are sending Data from BUZ to another API you will need to type BUZ.

Test the trigger
For this step, you will need to have completed an event in BUZ, for example
if you are sending
The Lead data out of BUZ to another app, you will need to have created a Lead in BUZ.
Quotes out of BUZ to another app, you will need to have created a quote in BUZ,
NOTE: For quotes you will also need to print a document in the order screen, if you are sending quotes out of BUZ, this creates a trigger notification that tells Zapier that the quote is available.
You may need to select test a few times.
Once Zapier finds your event, the data will show on your screen with all the available field titles and the data associated with that field.
Receiving API
From here, you can select the API to which you want to forward the data.
Set Up the Action
Choose the Receiving API (the app you want to send data to).
Select the Action Event (e.g., "Create Spreadsheet Row" for Google Sheets).
Link your account for the Receiving API.
Complete the Actions and map the merge fields. Ensure mandatory fields are correctly filled; you can input static values if necessary.
Test the action to ensure the data transfers correctly.
Finalize and Test
Test your Zap to confirm that data is being transferred as expected.
Monitor and maintain the connections regularly. If BUZ, Zapier, or the other APIs make changes, your Zap may require an update to continue functioning correctly.
Important Notes
Ensure you have an event in BUZ to test the trigger (e.g., create a lead or a quote in BUZ).
For quotes, print a document in the order screen to create a trigger notification.
If needed, test multiple times until Zapier successfully finds your event.
Regularly monitor your Zaps for changes in BUZ, Zapier, or other connected APIs to avoid disruptions.

Lead Data in to BUZ

Triggers:
New Credit Note: Triggered when a new credit note is created in BUZ and allows the credit note to be imported into the other system.
New Invoice: Triggered when a new invoice is created in BUZ and allows the invoice to be imported into the other system.
New Payment: Triggered when a new payment is created in BUZ and allows the payment to be imported into the other system.
New Lead: Triggered when a new lead is created in BUZ, allowing the lead to be imported into the other system.
Actions:
Create Lead: This allows you to create a lead in BUZ on a trigger from another system.

Things to note.
Times need to be in 24hr format.
Generally, your form will be in DD-MM-YYYY or possibly MM-DD-YYYY, but it will need to be converted to the universal date-time format.
