Adding a Customer

Select

  • Contacts

  • + Add Customers
  • Fill in Billing Details and Save

Adding 1 or More Install /Delivery Address’

•Select + Add Contact

•If it is the same as the Billing Address then select Use Billing Address top right of the map or if they are different then fill in the details and Save at the bottom

You can add as many Install / Delivery Addresses as you wish here and it is great for Real estates or Building Companies.

  • If you have multiple Install / Delivery Address’ and you want to do a Quote or Order for one of them
  • Double click on the Install / Delivery Contact 
  • Use the Drop Down on the Save button and either start a new Lead or a new Quote

You can select the Install/dispatch address when you are finalizing your order

You are able to sequence your dispatch addresses,When editing the dispatch address under the customer card you will find sequence number as per below.

We recommend that the default address be sequenced with -1 and then the addresses after that be 1,2,3,4 etc.

Other items on the Customers Card

  • You can Edit the Billing Details via Edit Details in the Customers Card Box
  • View the history of this customer via View History
  • You can see the Details Tree via + Show Tree
  • You can download all of the addresses to your email contacts via the V card symbols

Credit limits can be set for each customer, this prompts a pop up box on the quote summary screen when the credit limit has been exceeded (image 2 & 3)

The pop up box will not be removed until the credit limit is increased or the customer has paid outstanding amounts.  Credit Limits are handled separately to Days Credit.

The credit limit is set under the Customer card > Account details (Image 1)

The status for this function can be edited in (Settings-> Sales settings-> Orders status)

Accounts could be a few days out in reconciling, therefore BUZ does not restrict allowing customer orders to be placed, the orders are not processed until Credit approval is completed.

If you want to have a note on the customer card 'Account is on Hold' as the customer has outstanding payments simply set the credit limit to negative.

Days Credit

Days Credit (30, 60 or 90 days from the end of the month) can be set for each customer to restrict any customers who have exceeded 30, 60 or 90  days credit. Days credit is handled separately to credit limits. This prompts a pop up box on the quote summary screen when the credit days has been exceeded from the invoice date. You can set either 30, 60 or 90 days credit. 

The pop up box will not be removed until the days credit limit is increased or the customer has paid outstanding amounts.

The days credit is set under the Customer card > Account details (Image 1, 2 or 3). You must have an amount in the credit limit field for the days credit limit.

Note: You can't have both credit limit and days credit working with each other at the same time. There isn't a check for both, BUZ handles them separately. If a customer exceeds the credit limit - the credit limit message will appear, if a customer exceeds days credit the days credit message will appear. 

Removing Days Credit

Option 1 - using the Export/Import function

Contacts -> Customers -> Import/Export -> Download Current Layouts -> Customers Billing -> Export -> update the Days credit field to 0 and re import the file to BUZ

Customers → Advanced Search to find required customer → Edit Details → Scroll down to Account Details → Update Days Credit to zero → Save

Import/ Export Customer Details

(If the user does not have access to settings the user won't find Import/Export options in Customer and Suppliers screen)

To do this select Import/ Export and follow the standard Import/ Export prompts.

The customer details can be:

  • Exported for a mail merge.
  • Exported, edited and imported to update their details.
  • Customer details can be imported from another system.

Things to be aware of:

  • CRM Notes (CRM column) are not exported as they are often too big for Excel.
  • CRM Notes imported are added to the existing CRM Notes.

Validation/Parameters:

  • Sales rep code is case sensitive
  • Street includes Street name and type

Address

If you are importing addresses from another worksheet you can put the address into the "Simple address". When imported into BUZ it will be split up into the appropriate columns.

This needs to be in the below format "UnitNo/No Street, Suburb State Post code, Country"

  • Contact Information: Phone numbers, mobile numbers, and email addresses

  • Addresses: Billing and installation addresses

  • Customer Type: Categorise customers based on profile types; this can include Pricing and discount structures

  • Account details: set up credit limits and days credit, if applicable

Using Customer Information in Templates Most of the details in Customer Contact Cards can be used to personalise document and email templates, making your communication more impactful and relevant.
